At a glance
- We import your companies and employees for you, free of charge.
- Send us an Excel (XLS) or CSV file. An export from your old payroll system or your own spreadsheet both work.
- Email [email protected] to get started.
What we can import
- Companies. Useful if you're a bookkeeper moving several clients at once, or you run more than one business.
- Employees. Each employee's profile details, so you don't have to type them in one at a time.
File formats
We accept Excel (XLS) and CSV files. Most payroll and accounting systems can export an employee list in one of these formats, and a spreadsheet you keep yourself is fine too. Columns don't need to be in any particular order or use our names. We'll match them up.
What to include for employees
The more of these you include, the less you'll need to fill in later. These are the details PayCub uses on each employee's profile:
| Detail | Why PayCub needs it |
|---|---|
| First and last name | Pay stubs and T4 slips |
| Email address | Where pay stubs are sent |
| Address | Pay stubs and year-end forms |
| Start date | Years of service, used for vacation pay minimums |
| Date of birth | Whether CPP applies at the employee's age |
| Province of employment | Which provincial tax tables and vacation rules apply |
| Pay type and rate | Hourly rate, annual salary, or piecework rate |
| Vacation pay percentage | Paid on each stub or accrued |
| SIN | Only used for T4 slips |
How it works
- Email support and tell us roughly how many companies and employees you're bringing over.
- Send your file in XLS or CSV format.
- We import it and let you know when it's ready.
- Review each employee before your first pay run, especially pay rates, province of employment and vacation pay. TD1 amounts are entered on each employee's first pay stub (see TD1 and tax credits).
